How we automated a consulting firm's free readiness assessment so leads complete a survey, get a personalized PDF, and land in the CRM without anyone touching it.

The Situation

A consulting firm specializing in transformation leadership for complex organizations needed a lead magnet that actually worked at scale. They had a free readiness assessment they wanted to offer through their website, but the manual version of it was the bottleneck. Someone had to take the survey responses, build a personalized PDF, email it to the prospect, and remember to add the contact to the CRM. Every step was a place where leads got dropped, delayed, or forgotten.

For a firm where senior consultants are the bottleneck, having anyone spend time formatting PDFs after every survey was a non-starter. They needed the assessment to run itself.

Our Approach

We built a single end-to-end automation chain that connects four tools without anyone in the middle. A prospect lands on the website, completes the assessment in SurveyMonkey, and within seconds a personalized PDF gets generated from a template, emailed to them automatically, and the contact is captured in HubSpot with all the survey data mapped to the right fields. The consulting firm sees a new qualified lead in their CRM with the full assessment context already attached.

The entire workflow is built in Zapier, so the firm can see exactly what's happening at every step and adjust it themselves later. We delivered configuration, testing, optimization across all the connections, and a handover training video so the team understands how to maintain it.
